14 resignation letter templates, one for every situation
Each template is worded for its situation — a retirement letter does not read like an immediate resignation. Pick yours and the generator loads it with your details filled in.
How much notice do you have to give?
Your contract always comes first — it overrides custom and, in many countries, the legal minimum. Use this table as a starting point, then check your employment contract or offer letter.
| Country | Legal minimum (employee) | What is customary |
|---|---|---|
| United States | No federal requirement for most roles (employment is usually "at will") | 2 weeks for most jobs; 4+ weeks for senior or hard-to-replace roles |
| United Kingdom | 1 week, if employed for more than a month (statutory minimum) | Whatever your contract says — commonly 1 month, up to 3 months for senior staff |
| Canada | Varies by province; often none for short service, more after several years | 2 weeks is the widely accepted courtesy |
| Australia | Set by your award or agreement — typically 1 to 4 weeks based on years of service | Follow your award; many professionals give 4 weeks |
| India | Set by your employment contract — commonly 30 to 90 days | Serve the full contract notice or negotiate a buyout with HR |
| Pakistan | Set by your appointment letter — commonly one month or one month's salary in lieu | One month, confirmed in writing with your manager and HR |
General information only, not legal advice. Notice rules change and depend on your contract, sector and length of service — when in doubt, ask HR or a local employment adviser. Sources: UK GOV.UK guidance on resignation and notice periods; US Department of Labor guidance on at-will employment.
How to resign professionally, step by step
The letter is only one part of a clean exit. Follow this order and you will leave with your reputation — and your references — intact.
Check your contract
Confirm your notice period, any non-compete clauses, and how unused leave is handled before you say anything.
Tell your manager first
Ask for a short private meeting or call. Your manager should hear it from you — never from rumours or HR.
Hand over the letter
Give the signed letter right after the conversation (or send the email version) so your notice is on record.
Agree the handover
List your open work, document key processes, and offer to train your replacement during your notice period.
Leave on good terms
Work properly until your last day, thank your team in person, and keep the door open — industries are small.
Do
- Keep the letter short, positive and factual — a page is plenty
- State your last working day clearly and in full date form
- Thank your employer for specific things you learned or were given
- Offer a real handover — notes, training, introductions
- Keep a copy of the letter and any acknowledgement you receive
Don't
- Criticise your manager, team or the company — the letter stays on file for years
- Announce it to colleagues or on social media before your manager knows
- Leave your notice period vague — "soon" or "end of month" causes disputes
- Burn bridges over a counteroffer you never intended to accept
- Take company data, client lists or files with you when you leave
Anatomy of a good resignation letter
Every letter this generator produces follows the same proven structure. Here is what each part does — and why it matters.
Clear statement, first paragraph
The word "resignation", your title and your last day all appear immediately — no ambiguity about dates.
A brief, positive reason
One or two sentences is enough. You never owe a full explanation, and positivity protects your reference.
Specific gratitude
Naming a real achievement or opportunity makes the thank-you believable instead of generic.
A concrete handover offer
Saying exactly what you will finish and document reassures your manager and your team.
Warm close + contact details
A good final line and a way to reach you after you leave keep the professional door open.
Resignation letter questions, answered
How much notice should I give when resigning?
Two weeks is the standard courtesy in the US and Canada for most roles. In the UK the statutory minimum is one week if you have been employed for over a month, but your contract may require more — often one to three months for senior roles. Always check your employment contract first; it overrides custom. The generator warns you automatically when your notice is shorter than two weeks.
What should a resignation letter include?
A clear statement that you are resigning, your job title, your last working day, a brief and positive reason (optional), a thank-you to your employer, an offer to help with the handover, and your signature with contact details. Everything on that list is built into the letters above.
Should I state my reason for leaving?
You are not required to give a reason. A short, positive line such as "I have accepted a new opportunity" is enough. Save detailed feedback for your exit conversation, and never criticise your employer, manager or colleagues in the letter — it stays on file and can resurface when references are checked.
Can I resign by email?
Yes — email resignation is widely accepted, especially for remote roles. Use a clear subject line such as "Resignation — Your Name", keep the same content as a printed letter, and send it to your manager with HR copied in. The "Email it" button above prepares exactly that. If your contract asks for written notice, an email counts in most workplaces.
What if I need to resign immediately?
Explain briefly that circumstances require an immediate resignation, apologise for the short notice, thank your employer, and offer whatever handover help you can give in your remaining hours or remotely. Choose the "Immediate resignation" template and set your last day to today — the wording stays professional and the checklist adjusts to match.
Should I address the letter to my manager or HR?
Address it to your direct manager — they should hear it from you first, ideally in a short meeting before the letter arrives. Then send a copy to HR so your notice period, final pay and paperwork are processed correctly.
Is this generator really free?
Yes. The generator, all 14 templates, and the Word and text downloads are completely free with no sign-up and no watermark. Your letter is built in your browser — your details are never uploaded to a server, and your draft is stored only on your own device.
